Last summer, Microsoft rolled out the Microsoft Lists application for Microsoft 365. The app allows users to track data and organize their projects, documents, matters, and more. This function lets your firm
sort trackable metrics in order of importance, assuring that all parties
collaborating on a project are on the same page.

Basically, Lists is a workflow app that allows users to keep track of the projects and tasks they have outstanding. This can help organizations
stay on top of the hundreds of projects they may be working on at any
given time, especially as hybrid workplaces continue to rely on virtual collaboration systems — like Microsoft Teams.

The app also allows for the seamless transfer of project/task ownership, because as we know, new developments are constantly taking place over the lifecycle of a project.

Similar features have been in use for years in SharePoint Online, but the Lists app comes fully integrated with Microsoft 365, so lists can now be created in Teams, Outlook, and Power Platform as well.

It’s encouraging to see Microsoft bolster its stable of virtual collaboration tools as Teams continues to be a key application for modern hybrid workplaces.

When coupled with our enterprise adoption and governance software,
CAM, your organization can collaborate freely and securely, knowing that all
your bases are covered from a privacy and cybersecurity compliance standpoint.

Provisioning, Classifying, and Protecting Data with CAM

Prosperoware CAM is a Software-as-a-Service platform that serves as a last-mile solution to managing and governing disparate collaboration systems, including Microsoft 365. As organizations continue to adapt to hybrid workplaces during the pandemic, CAM is here to empower your organization to mitigate data chaos and reduce risks related to privacy
& cybersecurity.

CAM enables organizations to create logical locations for users to place data and provides rich custom metadata capabilities to empower users to locate data and risk management teams to understand context so they can apply the right security and minimization policies.

The ability to sort data through trackable metrics and metadata is a big advantage for firms. The sheer number of documents and projects that
are created in an organization creates an immense risk of data chaos and sprawl. Luckily, CAM — in unison with Microsoft Lists — is designed to address these concerns.

CAM offers automatic and on-demand provisioning across several collaboration platforms, including Teams, SharePoint Online, OneDrive,
Planner, OneNote, and Lists.

CAM allows provisioning of Teams, Channels, workspaces, folders, documents, internal and external users and groups, and more, with standardized naming conventions and folder templates. This eliminates the need for organizations to expand valuable resources by engaging in manual provisioning.

You can oversee the provisioning of all your Lists from the CAM app, instead of getting into the weeds and doing the more tedious work of provisioning yourself. This saves time and resources for your organization.

While provisioning creates logical locations for users to save content, finding that content, protecting, and minimizing it is a challenge for both end-users and risk management teams when working across hundreds or thousands of projects.

CAM enables the application of rich custom metadata to projects, Teams, Channels, workspaces, folders, documents, etc. that allow your organization to understand context across collaboration systems — including Microsoft Lists. End users can then leverage a Unified Project Directory to search and filter their content, while risk management teams can understand context and apply the right security and minimization policies.

These capabilities serve to further the usefulness of Microsoft Lists, protect data from breaches, and strengthen governance in-line with privacy and security regulations.

With the last year of hybrid work unfortunately paving the way for a rise in cyber-attacks, there has never been a more prescient time for your firm to buckle down on its privacy and security policies. While a “bad day” can happen to any organization, provisioning, classifying, protecting, and minimizing data through CAM is one of the many steps your firm can take
to ensure that when that day comes, you’re protected and prepared.

CAM, integrates with multiple collaboration systems, including Microsoft 365 (Microsoft Teams, SharePoint Online, OneDrive, OneNote, Planner), file shares, iManage, NetDocuments, HighQ, and more to come.

Here’s what CAM can do for you:

  • Automatic provisioning of workspaces, Teams, Channels, and folders from Project Portfolio Management, CRM etc., or through human workflow using templates
  • Rich, custom metadata for project or document context
  • Unified project directory for content location for end users and risk management teams
  • Automatically provision internal & external users, manage permissions, and integrate with ethical wall systems
  • Data Loss Prevention including activity monitoring and bulk security & metadata changes
  • Minimize data by setting data disposition policies or apply litigation hold
